    Job Description

    The Store/ Office Assistant is responsible for a variety of daily activities in the office including, e-mails, directing phone calls, administrative tasks, supply ordering, schedule coordination, basic store merchandising, retail customer service, filing, maintaining accurate records across multiple government agencies, and other administrative support tasks.

    DUTIES, TASKS, & RESPONSIBILITIES
    Monitor and manage inventory of office, warehouse & shop supplies; order and distribute supplies as necessary
    Coordinate and schedule appointments and meetings for president & vice-president
    Coordinate and schedule trade show contracts and hotel reservations
    Maintain and update DOT binders to ensure compliance
    Maintain proper mining records in accordance to BLM policy
    Maintain proper merchandising and cleanliness of retail store
    Update all store displays and signage
    Maintain mailing lists and special customer requests lists
    Oversee annual Fossil Hunt Contest each summer
    Maintain stock of all company sales literature
    Provide back-up customer service and retail floor support.
    Greet customers in a professional manner
    Answer phone calls and take phone orders
    Create monthly schedule using simple scheduling software
    Perform other administrative support tasks, including updating and sorting files, general filing, drafting and proofreading correspondence, and conducting research

    SKILLS, KNOWLEDGE & ABILITIES
    High school diploma or general education degree (GED) required, associate degree preferred
    1-3 years of relevant experience in an office setting, preferably in an administrative or clerical role
    Excellent organizational skills, ability to prioritize, and comfortable working independently
    Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation
    Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills
    Strong attention to detail
    Proficient computer skills and ability to operate general office equipment
    Ability and skill to maintain open and professional communication between all levels of employees

    PHYSICAL DEMANDS & WORK ENVIRONMENT
    General office environment. Daily exposure to PC. Noise level can be high when the equipment in the lapidary is running. Employees are asked to do some heavy lifting up to 50 lbs. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus. The employee is required to use hands, fingers, handle, or feel objects, tools and controls. The employee is required to stand; sit; reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl.
